1. Overview

Square Deal Pty Ltd (“Square Deal”, “we”, “us”) is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website and AI coaching services. We comply with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. Information We Collect

2.1 Information You Provide

When you use Square Deal, we may collect information you voluntarily provide, including your name, email address, and details about your current service provider and plan (carrier, plan name, monthly cost). This information is used to calculate your loyalty tax and tailor coaching responses.

2.2 Call Audio Data

When you use our live coaching feature, audio from your retention call is processed in real-time to detect negotiation tactics and generate coaching responses. We process call audio using third-party speech-to-text services (currently Deepgram). Audio streams are processed in real-time and are not stored after the session ends unless you explicitly opt in to session recording for quality improvement purposes.

2.3 Automatically Collected Information

We automatically collect certain technical information when you visit our website, including your IP address, browser type, device information, and pages visited. We use privacy-respecting analytics and do not sell this data to third parties.

3. How We Use Your Information

We use the information we collect to:

Provide and improve our loyalty tax calculator and AI coaching services; generate personalised negotiation strategies and price anchors based on your provider and plan; detect retention tactics during live calls and deliver real-time coaching responses; communicate with you about your account, updates, and support requests; analyse usage patterns to improve our product; and comply with legal obligations under Australian law.

4. Third-Party Services

We use the following third-party services to deliver our product. Each processes data under their own privacy policies and data processing agreements:

Anthropic (Claude) — AI model provider for coaching logic and tactic detection. Deepgram — Speech-to-text transcription of call audio. ElevenLabs / Cartesia — Text-to-speech for demo simulations. Twilio — Telephony infrastructure for call connection (planned). Vercel — Website hosting and edge functions. Supabase — Authentication and database services.

We require all third-party processors to maintain appropriate security standards and process data only as instructed by us.

5. Data Retention

Call audio is processed in real-time and discarded immediately after each session. Transcripts and coaching session summaries are retained for 90 days to support dispute resolution and service improvement, then automatically deleted. Account information is retained while your account is active and for 30 days after deletion. Calculator inputs are not stored unless you create an account.

6. Your Rights

Under the Australian Privacy Act, you have the right to access the personal information we hold about you, request correction of inaccurate information, request deletion of your personal data, opt out of marketing communications, and lodge a complaint with the Office of the Australian Information Commissioner (OAIC) if you believe we have breached the APPs.

7. Consent and Call Recording

Australian telecommunications law requires all-party consent for call recording. Square Deal does not record calls. We process audio in real-time for the sole purpose of providing live coaching. At the start of each coached call, we require you to provide verbal disclosure to the other party that you are using an AI coaching assistant. This is a mandatory step in our product flow and cannot be skipped.

8. Data Security

We implement industry-standard security measures including encryption in transit (TLS 1.3) and at rest, access controls, and regular security reviews. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website and updating the “Last updated” date. Your continued use of Square Deal after changes constitutes acceptance of the updated policy.
